Introduction

This guide will tell you everything you need to know to get started quickly with 21.POS.

More detailed instructions, if available, are linked in the respective chapters. On the right-hand side, you will find a chapter overview where you can jump directly to the topic you want.

Administration

In Administration, you can manage and customise your cash register: you can enter items, view your latest purchases, customise the design of the cash register interface and much more.

Login

You can log in to the 21.Commerce app via the portal.

You can also access Administration by adding “/shop/Admin/” to the end of your cash register URL. For example, the administration page for “https://tolle-schuhe.shoptest.ch/" is “https://tolle-schuhe.shoptest.ch/shop/Admin/". Please note the capitalisation of “Admin”.

Overview

The Swiss21 administration interface is clearly structured. The most important elements are:

1. Switch to other Swiss21 applications You can switch between the various Swiss21 applications at any time by clicking on the icon with the nine dots in the top left corner. 21.Shop and 21.POS share the same administration and are therefore not displayed separately. 2. Navigation area (left side) The main navigation is located on the left side. This takes you to the various functions and areas of 21.Commerce. 3. Search field in the navigation There is a search field directly above the logo. Here you can search for specific content and jump directly to the relevant area:

  • Articles (article number, article name, etc.)
  • Categories (article name, article number)
  • Customers (customer number, name, company, etc.)
  • Orders (order number, invoice number, etc.)
  • Modules
  • Menu

4. Expand and collapse navigation The left navigation bar can be expanded or collapsed as required, e.g. to create more space for the main content on smaller screens. There is a small icon (an arrow) at the edge of the navigation bar for this purpose.

5. Switch to the web shop (21.Shop) If you use both the web shop and the Swiss21 checkout solution, you will find a button in the header that allows you to switch directly to the shop (21.Shop).

6. Display context-sensitive help There is a help icon in the top bar. Clicking on it will give you a brief explanation or a link to the relevant documentation for the area currently displayed.

6. Change the user interface language You can also change the language of the Swiss21 interface in the top right corner of the header. This applies to all menus and system texts.

Set language

Where: “Shop administration” → “Settings” → “Languages”

PepperShop offers the following languages in the administration area and on the customer side:

  • German
  • English
  • French
  • Italian
  • Romansh

The languages must be installed once. You can then change the language in the administration area and on the customer side in the top right corner. You can set the default language for the administration area and customer side and activate and deactivate languages individually. Under “Standard checkout operation”, you can set which language is selected by default in the checkout interface.

Demo product range

We provide a demo product range so that you can test PepperShop more easily. Sample articles and categories are already included. You can, of course, edit or delete individual articles.

Delete entire demo product range

If you want to delete the ENTIRE demo product range, proceed as follows:

**ATTENTION: this deletion cannot be undone! **

“Administration” → “Settings” → “Shop configuration” → “Operations” → “Items” → “Demo assortment clean up”

Create categories

All items must be assigned to at least one category. In the checkout, you can filter by category to find the items you want more quickly. To create a new category, proceed as follows:

  1. Start in the administration area.
  2. Click on “Category” in the navigation bar.
  3. Click on “New”.
  4. Fill out the form.

Create articles

To create new articles, proceed as follows:

  1. Start in the shop administration.
  2. Click on “Assortment” → “Articles” in the navigation bar.
  3. Click on “New”.
  4. Fill out the form. Mandatory fields are:
  • “Name”
  • “Price”
  1. Click on “Save” at the bottom.

Creating cash register users

Where: “Shop administration” → “Web cash register” → “Cash register users/login”

If your cash register is operated by several people, it is advisable to create a separate cash register user with an individual password for each person. This allows you to see at any time which sales were made by which cashier. You can create a new cash register user under “Web cash register” → “Cash register users/login” → “Add new cash register user”.

Switch to the cash register interface

To switch to the cash register interface, click on the shopping cart icon in the administration area. (If you are using PepperShop Online Shop + Web Cash Register, this button will take you to the online shop.) Alternatively, click on “Web Cash Register” → “Cash register user/login” and then on “Log in” for the desired cash register user.

Our recommendation: Open the cash register interface in a new tab. This makes it easier to switch back and forth between the cash register interface and the administration. If you make a change in the administration, you only need to reload the cash register interface to see the changes.

Make a test purchase

Even if you have not yet entered any items, you can still make a test purchase. PepperShop provides a demo product range for you to test.

  1. Click on the shopping cart icon in the administration area. Or click on “Web cash register” → “Cash register users/login” and then on “Log in” for the desired cash register user.
  2. Browse the cash register and add one or more items to the shopping cart.
  3. If you wish, you can add a discount. (Discounts can be applied to the entire purchase or to individual items. Discounts can be entered as percentages or amounts.)
  4. If you wish, you can enter a free item. (Free items are items that have not (yet) been entered and can therefore be sold directly without being entered in the administration.
  5. Click on “Pay”.
  6. Complete the purchase.
  7. The receipt will open in a new tab.

View purchases / daily closing

You can view purchases in various ways:

  • Initial overview: The most recent purchases appear on the start page of the shop administration, also known as the dashboard.
  • Where: Click on the “21.Commerce logo” in the top left corner of the administration area.
  • Detailed view: Under “Customers”, you will find an overview of all purchases and customers and can view purchase details. Various filters help you find specific purchases or customers more quickly.
  • Where: “Shop administration” → “Customers / Orders” → “Customers”
  • Sales & daily closing: Here you can filter sales by date and cash register user, see which payment methods have generated how much revenue, and perform the daily closing.
  • Where: “Shop administration” → “Web cash register”

Configuration / customisation of the web cash register

Where: “Shop administration” → “Web cash register”

You can configure and customise your cash register in the administration under “Web cash register”. For example, you can customise the appearance and operation of the cash register interface. Or change the design and content of the cash register receipt. Or connect your cash register hardware and manage your cash register users.

POS Plus add-on

With our paid add-on, you can add additional functions to 21.POS at any time. The add-on includes the following modules:

  • +2 cash register users
  • Layaway (pause purchases)
  • SumUp
  • Cash register hardware support (receipt printer, scanner, display and drawer)

Layaway: pause purchases

With this module, you can pause purchases, serve other customers in the meantime and resume the paused purchase afterwards. Multiple purchases can be paused. You can also transfer the purchase to another cash register. You can test this module for free with the demo account.
